Job Summary
The Integrated Management System (IMS) and Process Improvement Coordinator is responsible for implementing and maintaining the One Management System requirements at site level. The role serves as the central coordinator for process improvement initiatives, ensuring operational excellence, compliance, quality management, and continuous improvement across functions.
The position reports to the RC East Africa Production Lead and works closely with cross-functional teams to improve processes, manage risks, maintain quality standards, and drive continuous improvement programs.
Key Responsibilities
Integrated Management System (IMS)
- Collaborate with stakeholders to map processes and ensure procedures are documented, updated, and aligned with actual operations.
- Coordinate the implementation and continuous maintenance of the IMS according to Bayer IMS standards.
- Promote a strong culture of quality investigations by supporting teams in identifying root causes and implementing corrective and preventive actions (CAPA).
- Share lessons learned from process and quality deviations to prevent recurrence of failures.
- Ensure effective change management processes are followed, including monitoring the Management of Change (MOC) system.
- Drive proactive risk assessment and mitigation activities using appropriate tools such as the Intelex platform.
- Monitor IMS performance indicators including CAPA closure rates, audit finding closure rates, and document validity rates.
- Facilitate production retrospectives and management reviews every 90 days using performance data across the seed value chain.
- Conduct IMS awareness and compliance training for cross-functional teams.
- Coordinate internal and external audits and ensure timely resolution of audit findings.
- Represent the site in regional forums and support the implementation of quality management best practices.
- Support effective utilization of Intelex, Mydoc, and other quality management tools while acting as the site point of contact.
Process Improvement
- Lead end-to-end process mapping, waste reduction, and standardization initiatives using Lean, Six Sigma, and Root Cause Analysis methodologies.
- Use data from multiple sources to support data-driven improvement and optimization decisions.
- Work with Regional Operational Excellence Business Partners to implement relevant OnePSS initiatives.
- Drive digitalization and automation initiatives related to documentation and traceability systems.
- Lead IMS-related innovation and optimization projects, ensuring proper documentation, technical support, and KPI monitoring throughout project lifecycles.
- Support the acceleration of OnePSS implementation across the site by improving maturity and operational effectiveness.
- Act as a Subject Matter Expert (SME) in Lean practices and support the site’s continuous improvement journey.
- Provide coaching, guidance, and hands-on support for continuous improvement initiatives.
- Drive operational excellence improvements through process optimization and best practices.
- Develop and review site Key Performance Indicators (KPIs) to support performance tracking and decision-making.
- Participate in 5 WHY problem-solving activities to identify corrective and preventive actions.

Qualifications and Experience
- Bachelor’s degree in Agriculture, Agronomy, Quality Management, Engineering, or related fields.
- Minimum of seven (7) years of experience in the seed industry and/or manufacturing environment.
- In-depth knowledge of production systems and quality standards.
- Experience with process improvement methodologies and continuous improvement practices.
Certifications
- Lead Auditor certification in ISO 9001, ISO 14001, and ISO 45001 is an added advantage.
- Lean Six Sigma Green Belt certification is preferred.
